Turn the roast programme into a coffee brief
State Robusta, Arabica or a clearly described species or blend requirement. Include origin, crop or harvest period and processing method where these are important to your programme. If you require a named region or producer, identify the traceability evidence needed to support that description.
Explain whether the coffee is intended for a single-origin roast, blend, soluble-coffee process or another application. A screen request, cup description and processing preference answer different questions; one should not be used as a substitute for the others. Requested variants remain subject to review of the actual offer.
Specify physical quality without relying on shorthand
Provide the screen-size basis, defect assessment, moisture and other physical acceptance criteria your team uses. Include relevant residue, contaminant or microbiological evidence and the required sampling method. If your enquiry refers to a numbered screen or a trade grade, state how it is defined and assessed.
Ask the supplier to identify the tests and results applicable to the proposed lot. A broad description such as “export quality” does not establish the limits needed by your receiving operation. Record what is mandatory and what can be evaluated through the sample process before comparing quotations.
Agree sample, cup and lot identity
Describe the sample size and sensory evaluation protocol needed by your quality team. Agree how the sample represents the offered consignment and how an approval decision will be recorded. Cup descriptions should be reviewed against the intended roast and evaluation method, rather than treated as universal performance promises.
Request the origin, processing and lot records needed for your programme. If certification is a purchasing condition, explain the scheme and its required scope and review the relevant evidence. Neither a country of origin nor a coffee-grade name proves that a particular claim is supported.

Protect coffee condition from packing to receipt
Discuss sacks, liners or another supplier-supported format with net mass, closures, lot marks and any pallet requirement. If barrier packing is requested, explain the handling and storage conditions it needs to address. Packing details must be agreed for the offered coffee and receiving system.
Review warehouse and container cleanliness, moisture exposure, odour separation and the inspection point before loading. Include inland pickup and consolidation in the condition review; protection should not begin only at the port. Agree receiving checks and product-specific storage instructions rather than assuming a liner removes every cargo risk.

Ask for commercial terms on the same basis
Send company and contact details, species, processing, specification, quantity, packing, destination and required shipment period. Include the requested Incoterms rule and named place, sample approval and document requirements.
